Privacy Policy

This policy covers the Pilot Planner apps for iPhone and Android and the Pilot Planner pages on coetic-x.com.

The short version Pilot Planner needs an account, so it stores the profile you enter and the study progress you generate in Google Firebase. It does not run advertising, does not sell or share personal data with data brokers, and does not use an advertising identifier. You can request deletion of your account and associated data at any time.

1. Who this policy covers

This policy describes the Pilot Planner apps for iPhone and Android provided by Coetic X LLC (“Pilot Planner,” “we,” “us,” or “our”) and the Pilot Planner pages hosted at coetic-x.com/products/pilot-planner/. Pilot Planner is a private pilot licence (PPL) theory study companion. Coetic X LLC is the controller of the personal data described here.

Pilot Planner is a study aid. It is not an aviation authority service, and it does not issue, verify, or renew any licence or medical certificate.

2. Data we collect

Pilot Planner requires an account. We collect the following categories of data, all of which you provide or generate by using the app.

Profile details First and last name, date of birth, country, phone number, profile photo, and the licence and medical-certificate details you choose to record. To personalise the app and let you keep your training details in one place. These fields are optional except where the app marks them otherwise.
Study activity Exam and practice results, correct, incorrect and unanswered counts, saved and bookmarked questions, subject progress, and study reminders you set. To show your progress, restore a session, and send the reminders you asked for.
Purchase status Subscription and entitlement status received from the App Store or Google Play through our purchases provider. We do not receive or store your card number. To unlock paid content and restore purchases on your devices.
Diagnostics Crash reports and a sampled share of performance traces, including device model, operating-system version, app version, and the technical state at the time of an error. To find and fix crashes and slow screens.
Support messages Whatever you send us by email, including your address and any details you include. To answer your request.

Pilot Planner does not use advertising, does not request an advertising identifier, and does not run a third-party advertising or marketing SDK. We do not sell personal data, and we do not share it for cross-context behavioural advertising.

3. Licence and medical-certificate details

If you record a medical certificate class or expiry date, treat that as information about your health. We store it only so the app can show it back to you and remind you before it lapses. We do not use it for any other purpose, and you can clear those fields or delete your account at any time. Where local law treats this as a special category of personal data, we process it on the basis of your explicit consent, given by choosing to enter it.

4. Permissions the app may ask for

  • Photos. Only when you choose to set a profile picture, and only for the image you pick.
  • Notifications. Only to deliver the study reminders you create. You can decline or turn them off in system settings.

Pilot Planner does not request location, contacts, microphone, camera roll scanning, or background location access.

5. Service providers

We use a small number of processors to run the app. They act on our instructions and are not permitted to use your data for their own purposes.

These providers operate internationally, so your data may be processed outside your country, including in the United States. Where required, transfers rely on the European Commission’s standard contractual clauses or an equivalent mechanism offered by the provider.

6. Legal bases

If the GDPR or UK GDPR applies to you, we rely on: performance of a contract, to give you the account and study features you signed up for; legitimate interests, to keep the service secure and to fix crashes; your consent, for notifications and for optional profile fields including medical details; and legal obligation, where we must retain records.

7. Retention and deletion

We keep your account data for as long as your account exists. When we complete a verified deletion request, we delete the authentication record and the profile, study records, reminders, and profile image associated with the account from systems we control, and request deletion from processors where applicable. The current in-app control removes the authentication record and main profile record; use the account-deletion page if you want us to verify and remove any separately stored data. Backups and provider logs may retain copies for a short period before they age out on the provider’s normal cycle.

Crash diagnostics are retained on our provider’s standard schedule and are not linked to your study records. Support email is kept only as long as needed to resolve your request and to meet any legal retention duty.

8. Your rights

Depending on where you live, you may have the right to access, correct, delete, port, or restrict processing of your personal data, to object to processing, and to withdraw consent. You can exercise most of these directly in the app, or by emailing info@coetic-x.com. We will respond within the period your law requires. If you are in the EEA or the UK, you may also complain to your local supervisory authority.

9. Children

Pilot Planner is intended for people studying for a private pilot licence and is not directed to children under 13 (or the minimum age set by your local law). We do not knowingly collect data from children below that age. If you believe a child has given us personal data, email us and we will delete it.

10. Security

Account access is protected by your credentials or by your Apple or Google sign-in. Data in transit is encrypted with TLS, and our providers encrypt data at rest. No service can promise perfect security, so please use a strong, unique password and tell us promptly if you think your account has been accessed by someone else.

11. Changes

If we change this policy we will update the effective date above and, for significant changes, give notice in the app or by email before the change takes effect.
